CANCELLATION & REFUND POLICY

Thank you for registering for the Panama Women's Retreat. Please read 
this policy carefully before completing your purchase.

1. ALL SALES ARE FINAL

All retreat registrations, including Retreat-Only Pass, Shared Room 
Package, Single Room Package, and VIP Extension purchases are 
non-refundable and non-transferable.

By completing your purchase, you acknowledge that you have read and 
agree to this no-refund policy.

2. NO REFUNDS FOR PARTICIPANT CANCELLATIONS

If you cancel your registration for any reason—including but not limited 
to personal emergencies, illness, travel issues, scheduling conflicts, 
or change of mind—no refund will be issued.

This policy applies regardless of:

  •  How far in advance you cancel
  • The reason for cancellation
  • Whether you attend any portion of the retreat

Deposits and full payments are non-refundable once processed.

3. TRANSFERS (CASE-BY-CASE BASIS)

Retreat registrations are generally non-transferable. However, we 
understand that unforeseen circumstances occur.

TRANSFER REQUESTS:

  • Must be submitted in writing at least 60 days before the retreat 
      start date (by May 14, 2026)
  • Must include full details of the proposed transferee
  • Subject to approval at our sole discretion
  • May be subject to a $250 administrative transfer fee
  • Transferee must meet all retreat requirements and agree to all 
      terms and conditions

WHAT CANNOT BE TRANSFERRED:

  • Registrations cannot be transferred to future retreat dates
  • Partial transfers (e.g., main retreat but not VIP) are not permitted
  • Transfers requested less than 60 days before retreat will not be 
      considered

APPROVAL PROCESS:

We will review transfer requests on a case-by-case basis. Approval is 
not guaranteed and will depend on factors including space availability, 
retreat logistics, and the nature of the request.

If your transfer is denied, no refund will be issued.

NO CREDITS:

You may not receive credit toward future events in lieu of a transfer.

4. ORGANIZER CANCELLATION DUE TO LOW ENROLLMENT

If the retreat does not meet minimum enrollment requirements, we reserve 
the right to cancel the event.

In this case only, you will receive a FULL REFUND of all amounts paid.

Refunds will be issued to the original payment method within 14 business 
days of cancellation notice.

We are not responsible for any non-refundable expenses you may have 
incurred, including but not limited to:

  • Airfare
  • Hotel bookings (if Retreat-Only Pass)
  • Travel insurance
  • Passport fees
  • Other travel arrangements

5. RETREAT RESCHEDULED DUE TO EXTRAORDINARY CIRCUMSTANCES

If the retreat must be postponed or rescheduled due to circumstances 
beyond our control—including but not limited to natural disasters, 
severe weather, political unrest, pandemics, government restrictions, 
or force majeure events—the following applies:

  • NO REFUNDS will be issued
  • Your registration will automatically transfer to the new retreat dates
  • You will receive notice of new dates as soon as they are confirmed
  • If you cannot attend the rescheduled dates, no refund or credit will 
      be provided

We are not responsible for any non-refundable travel expenses, lost 
wages, or other costs incurred as a result of rescheduling.

6. CHANGES TO RETREAT PROGRAMMING

We reserve the right to make changes to:

  • Retreat schedule and activities
  • Venues and locations (while maintaining comparable quality)
  • Facilitators or guest speakers
  • Specific experiences or excursions

Minor changes to programming do not qualify for refunds. If significant 
changes occur, we will notify you in advance. Your purchase remains 
non-refundable.

7. TRAVEL INSURANCE STRONGLY RECOMMENDED

Due to our strict no-refund policy, we STRONGLY RECOMMEND that all 
participants purchase comprehensive travel insurance that covers:

  • Trip cancellation for any reason
  • Medical emergencies
  • Travel delays or interruptions
  • Lost luggage
  • Emergency evacuation

Travel insurance can protect your investment if unforeseen circumstances 
prevent you from attending.

We are not responsible for any costs if you choose not to purchase 
travel insurance.

8. WHAT IS NOT REFUNDABLE

The following are explicitly non-refundable:

  • Registration fees and deposits
  • Full retreat package payments
  • VIP Extension add-ons
  • Processing fees
  • Any portion of your purchase, regardless of reason

9. REMOVAL FROM RETREAT

We reserve the right to remove any participant from the retreat without 
refund if their behavior:

  • Violates retreat policies or code of conduct
  • Endangers the safety or wellbeing of other participants
  • Disrupts the retreat experience for others
  • Violates local laws

No refund will be issued in these circumstances.

10. FORCE MAJEURE

We are not liable for failure to perform our obligations due to 
circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters (hurricanes, earthquakes, floods)
  • War, terrorism, or civil unrest
  • Pandemics or public health emergencies
  • Government actions or travel restrictions
  • Labor disputes or strikes
  • Vendor or venue failures

In such cases, the retreat will be rescheduled (no refunds issued) or 
cancelled with full refund (organizer's discretion).

11. PAYMENT PLANS

If you select a payment plan option:

  • All scheduled payments are binding and non-refundable
  • Failure to complete payments may result in registration cancellation 
      with no refund of payments made
  • Final payment is due May 1, 2026
  • Late payments may incur fees or result in loss of registration

12. DISPUTES AND CHARGEBACKS

By registering, you agree not to dispute charges with your credit card 
company or payment processor.

If you initiate a chargeback:

  • Your registration will be immediately cancelled
  • You will be prohibited from attending the retreat
  • Legal action may be taken to recover costs
  • You may be responsible for legal fees and dispute costs

All disputes must be resolved directly with Pana Boss Retreat according 
to our Terms and Conditions.

13. THIRD-PARTY VENDORS

We work with third-party vendors for accommodations, transportation, 
activities, and experiences (JW Marriott Panama, catamaran charters, 
airlines, etc.).

  • We are not responsible for third-party cancellations or changes
  • Third-party services are subject to their own terms and conditions
  • We will make reasonable efforts to provide comparable alternatives
  • No refunds will be issued for third-party service issues

14. ACKNOWLEDGMENT

By completing your purchase, you acknowledge that:

✓ You have read and understand this Cancellation & Refund Policy
✓ You agree to the no-refund, no-transfer policy
✓ You understand that all sales are final
✓ You have been advised to purchase travel insurance
✓ You accept all risks associated with travel and participation
✓ You will not dispute charges or initiate chargebacks
