SHIPPING POLICY

1. PRE-RETREAT MATERIALS

All registered participants will receive a physical welcome package 
approximately 30-60 days before the retreat (estimated delivery: mid-June 2026).

PACKAGE INCLUDES:

  • Panama Travel Guide (printed)
  • Retreat preparation materials
  • Welcome gift
  • Additional retreat resources

This package will be shipped to the address you provide at registration.

2. SHIPPING TIMELINE

SHIPMENT DATE: Approximately 30-60 days before retreat (mid-June 2026)
DELIVERY WINDOW: 7-14 business days for domestic US addresses
INTERNATIONAL: 14-21 business days (may vary by country)

You will receive a shipping confirmation email with tracking information 
once your package ships.

3. SHIPPING ADDRESSES

ACCURATE ADDRESS REQUIRED:

It is your responsibility to provide an accurate, complete shipping 
address at the time of registration.

Please include:

  • Full name
  • Street address (no PO boxes for some items)
  • City, State/Province, ZIP/Postal Code
  • Country
  • Phone number (for carrier delivery)

ADDRESS CHANGES:

Address changes must be submitted by April 15, 2026 to ensure your 
package reaches you before the retreat.

To update your address:

4. SHIPPING COSTS

Shipping is included in your retreat registration fee at no additional 
cost for:

  • US domestic addresses (all 50 states)
  • International addresses

You are responsible for:

  • Import duties or customs fees (international shipments)
  • Any additional fees imposed by your country

5. INTERNATIONAL SHIPPING

CUSTOMS & DUTIES:

International participants may be responsible for:

  • Customs duties
  • Import taxes
  • Brokerage fees
  • VAT or GST

These fees are determined by your country's customs regulations and are NOT included in your retreat registration.

We have no control over these fees and cannot predict the amount. Contact your local customs office for more information.

CUSTOMS DELAYS:

International shipments may be delayed by customs processing. We are 
not responsible for customs delays.

6. LOST, STOLEN, OR DAMAGED PACKAGES

IN TRANSIT:

Once a package is shipped and tracking shows "delivered," we are not 
responsible for:

  • Lost packages
  • Stolen packages (porch theft)
  • Packages delivered to incorrect address due to your error
  • Damage during shipping (unless visibly damaged upon delivery)

CARRIER ISSUES:

If tracking shows your package was lost or damaged in transit, contact 
us immediately at [your email]. We will file a claim with the carrier 
and send a replacement if possible.

TIMEFRAME:

Report lost or damaged packages within 5 business days of expected 
delivery date.

7. UNDELIVERABLE PACKAGES

If your package is returned to us as undeliverable due to:

  • Incorrect address
  • Refused delivery
  • Multiple failed delivery attempts
  • Invalid address

We will contact you to arrange reshipment. You may be responsible for additional shipping costs for redelivery.

If you do not respond within 10 business days, the package will be considered abandoned and no replacement will be sent.

8. PACKAGE NOT RECEIVED

If you have not received your package by June 15, 2026:

1. Check your tracking information
2. Check with neighbors or building management
3. Contact your local post office or carrier
4. Email us at [your email]

We will investigate and send a replacement if necessary and if time permits.

LAST-MINUTE REGISTRATIONS:

If you register after May 1, 2026, we cannot guarantee your welcome package will arrive before the retreat. Materials may be provided digitally or handed to you upon arrival in Panama.

9. PACKAGE CONTENTS - NO RETURNS

The welcome package contains retreat preparation materials and welcome 
gifts specifically curated for your retreat experience.

THESE ITEMS ARE:

  • Non-returnable
  • Non-refundable
  • Non-exchangeable

If you receive incorrect items or defective materials, contact us within 5 days of delivery.

10. DIGITAL MATERIALS BACKUP

All critical retreat information (schedules, packing lists, travel details) will ALSO be provided digitally via email.

You do not need to receive the physical package to attend the retreat. The physical materials are supplementary welcome gifts.

If your package is delayed or lost, you will still have access to all essential information electronically.

11. CARRIER INFORMATION

We ship via:

  • USPS (domestic US)
  • USPS International / DHL / FedEx International (international)

Tracking information will be provided via email once shipped.

You can track your package at:

  • USPS: usps.com/track
  • DHL: dhl.com/track
  • FedEx: fedex.com/track

12. RETREAT CANCELLATION

If you cancel your retreat registration (no refund per our policy), you may still receive the welcome package if it has already shipped.

If the package has not yet shipped, no package will be sent.

If the retreat is cancelled by us due to low enrollment, packages will not be shipped.

13. CONTACT FOR SHIPPING ISSUES

Include:

  • Your full name
  • Order/registration number
  • Tracking number (if available)
  • Description of issue
  • Photos (if package arrived damaged)

We will respond within 2-3 business days.

14. LIMITATION OF LIABILITY

We are not responsible for:

  • Shipping carrier delays
  • Weather-related delays
  • Customs delays or fees
  • Stolen packages after delivery confirmation
  • Incorrect addresses provided by participant
  • Refusal of delivery by recipient
  • Packages damaged by carrier (we will file claims on your behalf)

Our liability is limited to replacing the package contents if lost 
or damaged in our control.

15. MODIFICATIONS

We reserve the right to modify this shipping policy at any time. Changes will be posted with an updated date.

Participants will be notified of material changes via email.
